What the team can hold

Headcount is not capacity. The calculator shows how many projects a team can take, and which role runs out first.

A team of six can be full, or it can be waiting. It depends on which roles you actually have, and what kind of work is already in the queue. “We have the people” is not an answer to “can we take this on”.

The capacity calculator starts from the people. You enter who is on the team, including part time, and how the work usually splits: so much onboarding, so much journey mapping, so much of everything else.

Two versions of the year

It then runs the same effort estimates as the estimator, twice. Once as if the work stays straightforward. Once as if it is complicated, the brief is vague, and a lot of people have to agree.

You get a range: how many projects fit in a quarter and a year, and which role runs out first. If a discipline the mix needs is missing entirely, the number goes to zero. The constraint is visible before you say yes.

The same numbers

Both tools share one set of baselines. A project you estimate on its own is the same project the capacity view is counting. One asks what this piece of work needs. The other asks what this team can hold.

Open the calculator. If you want the single-project view first, start with the estimator.
